How to and the Tools needed to start Transcribing Cemeteries

Forms and Vital Info needed before starting the Transcribing: From the MPSGG representative, obtain the;

  1. From the MPSGG representative, obtain the;
    a) the correct spelling of the Cemetery Name to be transcribed.
    b) the corresponding "3 digit code" for that Cemetery Name.
  2. Obtain 1 copy of "Transcripor's Report Form".
    * - transcriptor to make any additional copies needed!
  3. Obtain 1 copy of "Cemetery History Report Form, part A", for each and every Cemetery to be transcribed!
  4. Obtain 1 copy of "Cemetery History Report Form, part B", for each and every Cemetery to be transcribed!
  5. If using the MPSGG computer cemetery data base program to generate the forms needed (recommended);
    a) FILL IN the following categories BEFORE PRINTING OUT ANY FORMS!
    MAIN MENU - Box A:
    Cemetery History Form, part A;
    - Name of Transcriptor
    - Cemetery ID Designation
    - Cemetery Name
    This information will automatically be printed on ALL forms, saving the transcriptor alot of writting!
    - Click on Box F and make sure that ALL 3 CEMETERY ID DESIGNATION CODES APPEAR ON THE SCREEN!
    - If NOT, go back to "MAIN MENU - Box A" and re-enter the, "Cemetery Name and Cemetery ID Designation" data

Tools needed in the Cemetery for Transcribing:

  1. Sun hat, sun glasses, sun lotion and/or bug repellent if necessary.
    a) Gloves
  2. A lightweight stool or chair.
  3. A 3 ring binder or other data storage device with a hard back for writting on.
    a) A large clip(s) for holding down your pages in the wind! A man's plastic pant hanger works great!
  4. A collection of sharpened pencils (no ink please) and eraisers!
  5. A water spray bottle and a bulk source of water.
  6. A sharp wooden scratching device(s) (no metal objects please)!
  7. A bristle floor brush and rag(s).
  8. A pail or other carrying device for carrying all your tools.
  9. A lunch and beverage.
  10. All "Transcription Report Form(s)" needed for that days outing

NOTE:

- Be sure and print a sequencial page number on ALL "Transcription Report Forms", in the top right hand corner for future reference.

- 1 copy of the "Transcription Report Form" will be used for each and every side of a cemetery stone!

- When a stone has more than one side to be recorded, from the front face, record your data in a 'clockwise rotation' around the stone. Each additional "Transcription Report Form" for each stone should have;

- the page # used on the 'front face' and an alphebetical letter following, to represent which side of the stone is being recorded!

Example:

the front side would be assigned a specific sequencial #,
the left side of the stone would be "#a" side,
the backside would be "#b" side,
the right side of the stone would be "#c" side.

Cemetery History - Report Form Help

Cemetery ID Designation:   enter the 3 letter cemetery ID designation.

Name of Transcriptor:   enter the full name of the transcriptor.

Cemetery Name:  enter the full name of the cemetery you are transcripting.

County:   enter the county name where the cemetery is located.

Township:   enter the township name where the cemetery is located.

Concession#:   enter the concession # where the cemetery is located.

Lot#:   enter the lot # where the cemetery is located.

Street / 911 Emerg#:   enter first, the street name / then the 911 emergency#, found on the green sign at the road.

Church Affiliate:   see "Cemetery Name & ID Listings.xls" or printout, (give name).

Ownership:   ownership by church, municipal, etc. (give name).
